This shall be achieved as explained below:

1. Conflict of Interest Policy: All personnel involved in validation and verification activities shall disclose any potential conflicts of interest prior to conducting any validation and verification activities. This includes any financial, personal, or professional relationships that could compromise impartiality.
2. Impartiality Risk Assessment: We shall conduct risk assessments identifying any potential threats and risks to impartiality. Mitigation controls shall be put in place to eliminate or reduce the identified threats and risks to acceptable levels.
3. Non-Discrimination Policy on validation and verification activities: All aspects of validation and verification activities shall be treated with no discrimination; no aspect is greater than another.
4. Independence of Validation and Verification Activities: All validation and verification activities shall be conducted independent from any undue influence or pressure. The selection and assigning of personnel shall be done in accordance with our Planning process which includes managing relationships with clients and maintaining organizational independence.
5. In the event that Soleil Solutions Africa is providing both validation and verification to the same client, due care shall be taken to consider any potential threat to impartiality such as self-review and familiarity and manage this risk accordingly, this may vary from selective assignment of duties of the Validation/Verification Team to declining the Engagement if need be.
6. Soleil Solutions Africa shall not offer or provide both consultancy and validation/verification for the same claim from the same client.
7. Where the relationship between any consultancy company and Soleil Solutions Africa poses an unacceptable threat to the impartiality, we shall not provide validation/verification activities to clients who have received consultancy relating to the same claim. This includes potential clients with whom we are pre-engaged.
8. Soleil Solutions Africa activities shall not be marketed or offered as linked with the activities of any consultancy company. We shall take all necessary actions when we are notified of inappropriate links with any consultancy company stating or implying that validation/verification would be simpler, easier, faster or less expensive if we are used. We also do not advocate the use of any consultancy company in order to make validation/verification with us simpler, easier, faster or less expensive.
9. Soleil Solutions Africa has set up an independent Committee to Safeguard impartiality.

To achieve this, Soleil Solutions Africa commits to:

1. Establish, monitor and review measurable quality objectives at relevant functions, levels and processes.
2. Satisfy applicable requirements by fulfilling customer, statutory, regulatory and other applicable requirements relevant to our operations and services.
3. Continually improve the effectiveness of the Quality Management System as we meet international standards and exceed stakeholder expectations.
4. Focus on customers and interested parties by understanding and responding to the needs and expectations of our customers and other relevant interested parties, strengthening trust and long-term value.
5. Engage and empower people by ensuring that all personnel are competent and empowered, and that responsibilities and authorities for quality are understood and applied.
6. Provide adequate resources for the maintenance of the Quality Management System.

This policy applies to all personnel and functions within the scope of Soleil Solutions Africa’s Quality Management System. This policy shall be reviewed every two years (or when significant changes occur) for continuing suitability, adequacy and effectiveness.

To achieve this, Soleil Solutions Africa commits to:

1. Establish, implement and review environmental objectives and targets across relevant functions and levels of the organization.
2. Protect the environment, including the prevention of pollution through efficient use of resources, waste reduction, responsible travel practices and integration of sustainability considerations into business decision-making.
3. Comply with applicable environmental legislation and other relevant requirements. This shall be evaluated through the Legal and Compliance Register.
4. Provide adequate resources for the maintenance of the Environmental Management System.
5. Encourage environmental awareness among employees and stakeholders.
6. Continually improve the Environmental Management System to enhance environmental performance, supported by monitoring, audits, management review and performance evaluation.

To achieve this, Soleil Solutions Africa commits to:

1. Establish and implement OH&S objectives and targets, as well as monitor and review them at relevant functions and levels.
2. Fulfil legal and other requirements and periodically evaluate conformance through the Legal and Compliance Register.
3. Eliminate hazards and reduce OH&S risks by applying the hierarchy of controls to eliminate hazards and reduce OH&S risks, supported by risk assessment, safe work procedures, change management and incident investigation.
4. Continually improve the OH&S Management System to enhance its performance, informed by monitoring, audits, personnel input and management review.
5. Encourage the participation of personnel in all OH&S matters.
6. Provide adequate training, awareness and resources to ensure maintenance of the Occupational Health and Safety Management System.
